Idea Box is a “digital” virtual box for collecting together Ideas (or Kaizens or HSEs) in a well organized
manner.
Each Idea Box is mapped to a Department (in the org structure) and is managed by a “Box Owner” – the
Key Responsible Individual (KRI). Besides, there’s the Committee Members (subject matter experts),
Committee Head (Innovation Manager), HR, Finance, Safety, Quality and Environment officers associated
with each Idea Box with clearly defined roles and responsibilities amongst them.
Idea Boxes can also be created at much finer levels such as work area, assembly line, etc. OR they can
also be created at a strategic or function level such as a project, a customer, a supplier or a partner, etc.
Idea Boxes are the units around which key analytics and insights are captured and presented for the
management to review and base their decisions and actions upon. Every idea record has to be associated
with its idea box and there can be only one idea box that it can be associated with at any given point in
time.
Idea Boxes can be set up at each level of the organization OR can be defined as Strategic or Project-based.
User Roles
- Idea Box Owner – Accept or reject a new Idea (Kaizen or HSE), input the Impact Score, select the
category (C1, C2 or C3) based on his/her judgement and indicate if SQE (Safety, Quality and
Environment) approval(s) are required for the same. Besides, the Box Owner is also responsible to
assign tasks, enrich the idea details and ensure the required details are complete enough to assist
with evaluations and further workflow actions. - Idea Committee Member – Evaluate an idea (Idea evaluation score points) and move an idea from
“Acked” status to “In Review” status (if C2 or C3). Do in person audits of the ideas, enter the key
metrics (Cost saved, investments etc) and finally move the Idea to Approved and Closed status. - Idea Committee Head – Primary role is to “approve” final rewards (points or amount) and oversee
that the Idea Box owners and Committee Members are moving ideas through the workflow without
any delays.
Other Roles
- HR – manage the Rewards and Recognition activities
- Safety Officer – approve Ideas (Kaizen or HSE) marked requiring Safety related approvals
- Quality Officer – approve Ideas (Kaizen or HSE) marked requiring Quality related approvals
- Environment Officer – approve Ideas (Kaizen or HSE) marked requiring Environment approvals
- Finance – approval of financial records associated with an Idea (Kaizen or HSE) and Idea project
All the above roles are “secondary” roles and it is possible few organisations may not wish to apply all of
those to the idea box. In such cases, the Box Owner is the one in-charge of such respective roles.
Indonis informs these users whenever ideas are to be reviewed, approved etc.
